Draft. This policy is pending attorney review and may change. It is provided for transparency and is not legal advice. Questions? Contact us at support@leaderhq.io.
LeaderLMS (“LeaderLMS,” “we,” “us,” or “our”) is a product of LeaderHQ, a division of Know Freedom Technologies. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using LeaderLMS, you agree to the practices described here.
Information we collect
We collect the following categories of information:
- Account email. The email address you use to sign in and receive notifications.
- Team roster. The names, email addresses, and roles of the learners you enroll on your team.
- Course progress. Which trainings each learner has started or completed, quiz scores, and certificates earned, stored on your behalf.
- Uploaded content. Any custom training videos, slides, or documents you upload to your organization's learning library.
- Cookies and session data. We use strictly necessary cookies to keep you signed in and operate the service. See “Cookies” below.
- Contact and support inquiries. The name, email address, topic, and message you submit through our contact form.
- Technical information. Your IP address, used briefly to rate-limit our public forms and protect against abuse.
Information collected on behalf of our customers
Some information in LeaderLMS is submitted by third parties — for example, the learners a customer enrolls on their team. For that information, our customer is the data controller and we act as a service provider (processor), storing and processing it only on the customer’s instructions. If you believe a LeaderLMS customer holds your information and you want it corrected or deleted, contact that customer directly, or email us at support@leaderhq.io and we will assist.
How we use information
We use the information we collect to:
- Provide, maintain, and improve LeaderLMS.
- Track course completion and issue certificates to your learners.
- Send transactional and account-related email (for example, completion notifications and sign-in messages).
- Process subscriptions and billing.
- Protect against fraud, abuse, and security issues.
Cookies
LeaderLMS uses only strictly necessary cookies: a session cookie that keeps you signed in and short-lived cookies used for security (such as sign-in and CSRF protection). We do not use third-party advertising trackers, and we do not set marketing cookies. Our marketing site uses privacy-focused, cookieless analytics (Vercel Analytics) to measure aggregate traffic — it does not set cookies, use fingerprinting, or track you across other websites, and it does not collect information that identifies you personally. Because we use no non-essential cookies, we do not show a cookie consent banner. If we ever introduce advertising trackers, cookie-based analytics, or marketing cookies, we will ask for your consent first and update this policy.
Service providers
We share information only with the vendors needed to run the service:
- Postmark processes our transactional email so we can deliver completion notifications and sign-in messages.
- Stripe processes payments and manages subscriptions. We do not store your full card numbers; Stripe handles payment data directly.
- Vercel hosts our marketing site and provides the cookieless traffic analytics described above.
We do not sell your personal information.
Data retention
We retain your account information, team roster, and course progress data for as long as your account is active. When you delete content or close your account, we remove the associated data within a reasonable period, except where we are required to retain it to comply with legal obligations or resolve disputes.
Your privacy rights (GDPR & CCPA/CPRA)
Depending on where you live, you may have some or all of the following rights over your personal information:
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to fix inaccurate or incomplete information.
- Deletion — ask us to delete your personal information.
- Portability — receive your information in a portable, machine-readable format.
- Restriction and objection — restrict or object to certain processing, including direct marketing.
- Withdraw consent — where processing is based on consent, withdraw it at any time.
If you are in the European Economic Area or the United Kingdom, these rights arise under the GDPR / UK GDPR, and you also have the right to lodge a complaint with your local supervisory authority. If you are a California resident, the CCPA/CPRA gives you the rights above plus the right to know what categories of personal information we collect and the right not to be discriminated against for exercising your rights. We do not sell or share personal information as those terms are defined by the CCPA/CPRA.
To exercise any of these rights, use the tools in the app or email support@leaderhq.io. We will verify your request and respond within the time required by applicable law (generally 30 days under GDPR, 45 days under CCPA/CPRA).
Children’s privacy
LeaderLMS is a business tool intended for adults. It is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
Security
We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure, but we work to safeguard your data and limit access to it.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above. Continued use of LeaderLMS after a change constitutes acceptance of the updated policy.
Governing law
This Privacy Policy is governed by the laws of the State of Wyoming, without regard to its conflict-of-laws principles.
